Custom software or an off-the-shelf tool? How to decide
A practical way to decide whether you need custom software or whether an existing tool will do the job.

Start with the off-the-shelf option
For common jobs like email, accounting or a basic CRM, an existing tool is almost always the right call. It's cheaper, it's ready today, and someone else maintains it.
The warning sign is when your team starts working around the tool. If people spend hours copying data between spreadsheets to fill the gaps, the software is costing you more than its subscription.
Do the licence maths
Per-user pricing looks small at first but grows with every hire. Features like SSO, API access or admin controls are often locked behind a pricier plan.
Custom software costs more upfront, and you'll pay for hosting and maintenance. But there are no per-user fees. Work out the cost over three to five years for both options before deciding. Sometimes custom wins, sometimes it doesn't.
Think about ownership
With custom software, you own the code and the data. You can connect it to whatever you like: machines on the shop floor, an old database, a partner's API. You don't have to wait for a vendor to add an integration. That flexibility matters most when your process is what sets you apart from competitors.
